About the role
Ventia are seeking applications for an attention detailed Project Controls Coordinator to assist with the day-to-day operations on our Defence Base Services (DBS) Contract. The position will be working within our Project Management Office (PMO) team to assist in project management and delivery across the DBS contract.
This is a full-time permanent position based at our Perth head office on Adelaide Terrace with future flexible working opportunities.
Key duties, but not limited to:
- Develop project funding proposals and seek approval from internal and external stakeholders
- Validate the funding received and do a 3-way match with SAP, proposal submitted to ensure the funding is correct and query back to relevant department, if required
- Confirm vendor engagement and initiate creation of vendor PO and work with PMO for any project variations and changes
- Work with the scheduler to update project schedule and changes if any
- Monitor and seek endorsement of progress claims against pre-determined and agreed milestones
- Assist Project Managers with schedule tracking and schedule and cash forecast movement and approvals
- Provide the project management team with integrated, accurate, and timely whole-of-project/program reports with analysis
- Provide timely updates to project management team for variances relating to scheduling, resource and cost forecasting
- Provide support to management team to develop and track KPI progress
- Work with document controllers throughout the lifecycle of the project to accept vendor claims and ensure data integrity
- Ensure timely billing to defence for all the projects progressed during the month
- Monthly reporting to defence – schedule changes, project progress and forecast
- Identify and/or contribute to the review and development of process improvements
Skills & experience:
- Previous experience in a Project Controls role or similar, Defence sector experience is desirable
- Strong ability to prioritise with the capacity to deal with multiple and often conflicting priorities
- An ability to develop and maintain excellent working relationships with multiple operational managers and support function representatives as well as a high-profile client
- Excellent written and verbal communication skills
- Ability to work autonomously with limited direction as well as part of a team
- Proficient skills in Microsoft Office Suite (Project preferred) + Outlook, Word, Excel, as well as a willingness to learn our in-house software system and work with this daily
- Knowledge of SAP, Ariba, VenSafe (Safety System) or SharePoint, will be highly regarded
Other special conditions
The incumbent to this position must be eligible to obtain and maintain a Defence Security Clearance up to a level of baseline clearance. As a result of this requirement the incumbent must be an Australian Citizen.
This position also requires you to obtain a National Police Clearance check and hold a valid Australian driver’s licence.
