Ventia is seeking an experienced and highly trusted Executive Assistant to provide high-level support to the Group Executive – Infrastructure Services, a member of the Executive Leadership Team. This is a critical role within a large and complex portfolio, requiring strong judgement, discretion and the ability to operate confidently at senior executive level.
This role goes beyond traditional administration, focusing on enabling executive effectiveness, maintaining leadership cadence and ensuring seamless coordination in a fast-paced, high-accountability environment.
About the Role
As the Executive Assistant, you will act as a trusted partner and extension of the Group Executive, managing priorities, information flow and stakeholder engagement to support strategic and operational outcomes. You will operate with significant autonomy, exercising sound judgement across diary management, communications, governance and leadership team support.
Key responsibilities
- Executive & Diary Management: Proactive management of a complex executive diary, resolving conflicts, balancing priorities and coordinating meeting preparation and follow-up
- Stakeholder & Communication Management: Managing executive correspondence, acting as the primary point of contact and drafting communications on behalf of the Group Executive
- Governance, Risk & Confidentiality: Supporting approvals, delegations, document execution and compliance, with absolute discretion
- Leadership Team Support: Coordinating leadership and extended leadership team meetings, agendas, logistics and follow-up
- Travel, Events & Logistics: Managing complex travel and coordinating leadership events, site visits and external engagements
- Operational Effectiveness: Maintaining systems and improving workflows to support executive continuity and efficiency
About You
You are a highly professional Executive Assistant with experience supporting senior executives within large, complex organisations. You are comfortable operating independently, influencing without authority and managing sensitive matters with confidence.
You will bring:
- Proven experience supporting senior executives in fast-paced environments
- Exceptional organisation, prioritisation and time management skills
- Strong written and verbal communication capability
- High levels of judgement, discretion and commercial awareness
- Confidence engaging with senior leaders and external stakeholders
- Advanced proficiency in Microsoft Outlook, Teams and executive coordination tools
