About the role
The Business and Administration Advisor – Network Strategy & Planning provides essential support to the Executive Director and Senior Leadership Team, ensuring the smooth operation of a newly established function focused on developing and delivering innovative, efficient, and sustainable strategies for Victoria’s regional passenger and freight networks.
This role involves managing a range of administrative and business functions including inbox management, diary coordination, document preparation, meeting logistics, and internal communications. You’ll work closely with stakeholders across all levels, helping to drive efficient processes.
Key accountabilities include:
Provide high-level administrative support to the Executive Director, including calendar and inbox management.
Prepare and distribute documents, reports, and Board Papers with strong attention to detail.
Coordinate meetings and workshops, including agendas, minute-taking, and logistics.
Manage day-to-day administrative tasks such as procurement, travel arrangements, and internal communications.
Triage and respond to requests and issues within the Network Strategy & Planning Group.
Support the implementation of strategies aligned with business and group objectives, ensuring compliance with relevant standards and policies.
About you
You are a current executive assistant or have demonstrated experience working in administrative roles, supporting senior leadership.

Strong organisational and time management skills, with the ability to prioritise tasks and meet tight deadlines.
Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
Excellent communication and interpersonal skills, with the ability to build relationships and engage effectively across a broad stakeholder landscape.
Collaborative team player who supports others and contributes to a positive working environment.
High level of accuracy and attention to detail in all aspects of work.

Remuneration for this position will be in line with the V/Line Rail Operations and Administrative Employees Agreement 2023 and determined in line with skills and experience.
