We’re seeking a highly organised and detail‑driven Laboratory Administrator to support the smooth and efficient operation of our SOS Oil Laboratory. Reporting to the Mechanical Fluid Analysis Lead, you will play a key role in ensuring accurate data entry, timely customer support, and seamless administrative coordination across the laboratory team.

Roster: Mon – Fri 8.5 hours per day (including unpaid meal breaks)
Location: South Guilford
What you’ll do:
- Accurately enter all oil analysis sample data into CAT SOS within required timeframes (95% accuracy, 24‑hour turnaround).
- Respond promptly to customer enquiries via Zendesk and phone, ensuring high‑quality service.
- Process SAP orders, VIMs and related purchasing tasks to support uninterrupted laboratory operations.
- Provide high‑level administrative support to the Laboratory Operations Manager and broader lab team.
- Assist the Laboratory Business Development Specialist, Laboratory Supervisor, Interpretation Team and Marketing with required information and coordination.
- Maintain compliance with WesTrac policies, procedures, quality guidelines and safety requirements.
- Identify opportunities for process improvements and action approved changes through the CI system.
- Provide training and guidance to customers on correct oil sampling procedures to improve data quality and customer satisfaction.
Skills and Experience:
- Certificate III in Business Administration desirable (not essential).
- Minimum 3 years’ experience in a customer service or administrative role.
- Strong communication skills — written, verbal and interpersonal.
- High attention to detail with proven accuracy in data entry.
- Intermediate computer literacy (MS Office, SAP, internet‑based systems).
- Excellent time management and organisational skills with the ability to manage multiple priorities.
- Ability to work both autonomously and collaboratively within a team.
- Experience in a Caterpillar dealership or with WesTrac systems desirable.
- Exposure to quality assurance or audit control processes advantageous.
