Key Responsibilities:

  • Assist with logistics for local engagement events and the Awards and Presentation Ceremony including catering, audio-visual equipment, transportation, accommodation, program, and speaker management (including workshops) and other relevant event requirements.
  • Serve as Secretary for all Organising Committees/Working Groups within the Events Team Portfolio.
  • Ensure the accuracy and efficiency of event registration processes for local engagement events and the Awards and Presentation Ceremony, including building online registration platforms, preparing, and sending attendee communications, and coordinating on-site registration.
  • Coordinate the Call for Abstracts process for all events, including ePoster and Static Poster administration.
  • Respond to general enquiries across all events.
  • Assist with the marketing and communication efforts as directed by the Manager, Events.
  • Assist with the preparation of on-site event materials, including staff rosters and run sheets for local engagement events.
  • Assist the Manager, Events with compilation of data for reports and/or event planning.
  • Coordinate the layout of collateral including Presentation Ceremony Booklet and digital/hardcopy materials for local engagement events.
  • Coordinate post-event administrative tasks for all events, including dissemination of post-event surveys, issuing certificates of participation, and tracking/uploading CPD hours.
  • Prepare post-event evaluations and analysis and provide recommendations for future events.
  • Perform additional administrative duties as required.

This role may require out of hours work on weekdays and weekends and some limited national travel. Time in lieu and flexible work arrangements are available.

The ideal candidate will have:

  • 3 years' experience and or an equivalent combination of relevant training and/or experience in a professional event or conference management position in a Medical, Health or Educational organisation
  • Relevant tertiary qualifications in event management, hospitality or tourism would be highly regarded.
  • Demonstrated experience in coordinating events (more than 200 people) within budget guidelines and proficiency coordinating invitations and RSVPs for a variety of events and meetings.
  • Excellent interpersonal skills and the ability to liaise and collaborate effectively with a wide variety of stakeholders.
  • Demonstrated capacity to work both independently with minimal supervision, and collaboratively within a team.
  • Advanced Microsoft Office skills, especially Excel and Word.
  • Knowledge of event technology and online registration platforms.
  • Highly developed verbal and written communication skills.
  • Resilience and high emotional intelligence.
  • Excellent planning, and organisational skills, with the ability to manage multiple priorities and meet deadlines.
  • Experience working with a range of committees and with stakeholders who provide expertise / input in a pro-bono capacity.
  • An interest in and commitment to issues concerning women’s health; and an interest in health education, with a positive attitude towards developing further skills in an educational setting.
  • Demonstrated behaviour consistent with our organisational values and a commitment to diversity and inclusion.
  • Flexibility to travel throughout Australia and New Zealand as required.
