The role:
Are you ready to be part of a dynamic team that plays a pivotal role in shaping the success of our Bids and Projects? We are seeking a highly organised and detail-oriented Program Coordinator to join our Above Water Systems team based in Garden Island. In this role, you will be responsible for coordinating and supporting the activities within the Project Management Office (PMO) or Project Office, ensuring the smooth execution of projects and bids. If you have a passion for project management, strong administrative skills, and the ability to work collaboratively, we want to hear from you!
Responsibilities will include:
Maintain PMO monthly cycle for on-time project delivery.
Support project management structures and baselines.
Assist Bid Manager in document production.
Administer document repository (e.g., SharePoint).
Create document templates and offer user guidance.
Coordinate Bid Review actions and track author progress.
Aid in response production and tender submission.
Support post-bid activities: archive, audit, report.
Enhance Bid Team processes with new tools.
Provide admin support for projects.
Maintain project records and file systems.
Ensure timely delivery of project artifacts.
Assist with reporting and meeting preparations.
Handle travel arrangements and cost reconciliation.
Process purchase requests and receipts.
Coordinate business events and functions.
How about you?
Business Administration, Engineering, TAFE Certificate, or equivalent experience.
PMO experience over the full project lifecycle activities.
Excellent teamwork skills with a positive and helpful spirit.
Excellent written and oral communication skills.
