How will you make an impact in this role?

An exciting opportunity exists to provide support to the International Card Services (ICS), Commercial Sales & Account Development Executive Office for Australia as Executive Assistant to the Vice President of ICS Commercial & Partnerships and the Vice President of ICS Account Development & Client Onboarding.

This is a fast-paced role where adapting to changing priorities and being able to work under pressure is key. To be successful in this role you demonstrate experience supporting senior executives, strong organisational skills, excellent written communications skills, attention to detail and an ability to work independently and confidently to a high standard.

Key responsibilities include:

  • Comprehensive diary management
  • Coordinating planning and logistics for internal and external meetings, including Town Halls, roundtables, leadership meetings, planning sessions and virtual / offsite events
  • Managing international and domestic travel arrangements including air, hotel, transfers, and agendas
  • Driving internal team communications strategy by proactively planning and developing multi-channel communications across various internal platforms (emails, Slack, video, internal meetings etc)
  • On time management and tracking of core reporting requirements e.g. T&E expenses, headcount reporting and mandatory training.
  • Supporting colleague engagement strategy and activities
  • Managing internal reward and recognition program and supporting communications plan
  • Developing strong working relationships with internal and external stakeholders across global offices as well as with an internal network of Executive Assistants
  • Ad hoc administrative / project work as requested

Minimum Qualifications

  • Previous experience supporting or working with senior executives
  • Adaptable and responsive to changing/competing requirements and priorities in a fast-paced environment
  • Excellent written and oral communication skills, especially in the development of targeted communications with the ability to tailor communications style to different audience types
  • Strong organisational skills with the ability to meet deadlines and manage change
  • Excellent relationship skills and ability to interact effectively with all business partners
  • Creative and innovative with strong attention to detail with emphasis on accuracy, quality, timeliness and follow through
  • Demonstrated ability to maintain a high level of confidentiality and handle sensitive information
  • Strong knowledge of software applications: Microsoft suite, including Word, Excel, PowerPoint
