About the OPPORTUNITY
We have an exciting opportunity to join us as a Business Coordinator – Production Subcontracts to work within our Maritime Australia line of business based at our Osborne shipyard in Adelaide.
As the Business Coordinator – Production Subcontracts, you will use your exceptional organisational skills and strong background in a supporting role to ensure the team are always prepared and never miss a deadline or action. You will build strategic partnerships working collaboratively with all levels of the Production Subcontract Management team and be valued across the function.
This role is based out of Osborne Shipyard Office and is open to our hybrid and flexible ways of working, including a 9 day fortnight.

  • Provide administrative support to senior leaders and/ or lead teams, inclusive of meeting coordination, calendar and email management, logistics of meeting rooms, presentations, site access and catering for small meetings to larger scale events
  • Arrange domestic and international travel, inclusive of flights, accommodation, transport and visit requirements in line with company policy
  • Develop required reports in consultation with leaders and/ or teams to consistently meet business requirements and deadlines
  • Plan business events and activities effectively in collaboration with key personnel to achieve business objectives
  • Initiate correspondence on behalf of senior leaders
  • Facilitate effective communication between leaders/teams and other administrative staff
  • Raise purchase orders, process invoices and reconcile credit cards in line with company policy
  • Escort and supervise visitors within secured areas and facilitate VIP visits whilst providing professional customer service
  • Provide site administration as required
  • Assist with on-boarding and induction of new staff members
  • Provide ad hoc business support as required
  • Business Coordinators to cover periods of leave for other administrators within the organisation as required
  • Effective stakeholder engagement and management
  • Implement process improvements and contribute to business efficiencies
  • Support senior leaders with critical governance systems, registers, processes and data records

About YOU

  • Team focused with the ability to work with a variety of people
  • Responsive and results driven
  • Able to liaise effectively and build strong relationships with internal and external stakeholders
  • High level attention to detail, organisational and time management skills to manage multiple competing priorities under broad direction, within tight deadlines
  • Excellent written and verbal communication skills
  • Able to use initiative
  • Previous experience in a supporting role working in either Commercial or Procurement
  • Proficient in MS Office skills, especially Word, Excel and PowerPoint
  • Experience in SharePoint highly desirable
