We are delighted to announce that we are looking for a Management Systems Integration Specialist who will work within our Systems and Quality team. The Management Systems Integration Specialist will be responsible for utilising excellent communication, writing and consultation skills to engage with key stakeholders and ensure that the integrated management system is aligned to the business needs and drives continuous improvement opportunities. The successful candidate will work to further amalgamate the different management systems that MTM is certified to into a single, simplified and easily accessible integrated management system.

Ensuring Metro Trains updates our management system to meet MTM requirements as well as, contractual, regulatory and National Rail Safety Law commitments. MTM is committed to a well-documented Integrated Management System, using easily accessible supporting software platforms, well-structured, simplified, and efficient management system that support MTM’s operational goals.

Key Areas of Responsibility

This role will report to the Head of Systems & Quality, work closely with the Quality Manager and more widely across the business in a continuous improvement approach to simplify and integrate MTM’s ISO and ONRSR certified management systems into a single integrated management system. The key responsibilities of this role are to:

  • Maintain and continuously improve the Business Classification Schema (BCS) within Objective CMS that supports the company needs and simplification of the Management System.
  • Define the minimum requirements of MTM controlled document layout and company templates to align with multiple management system requirements.
  • Definition and categorization of MTM controlled document types and aligning them to the Integrated Management System.
  • Provide fundamental document type content and authoring/editorial advice to the business in support of controlled document quality.
  • Provide document quality assurance through regular sample auditing of documents and providing constructive feedback to the document owners and QA Manager in line with continuous improvement principals and ensure consistent messaging across the business (including security classification of documents).
  • In conjunction with the QA Manager look at legislation, standard and risk-based document review, and update cycles.
  • Consult with the QA Manager and identify Content Management System improvements. Lead workshops (if required) with the key stakeholders to identify value add system improvements.
  • Provide regular progress reports on set tasks as specified by the General Manager Systems and Quality.

About You

  • Tertiary qualification in business or technical disciplines that include document writing qualifications and/or training.
  • Minimum five years’ experience of management systems integration with detailed knowledge of ISO 9001 and familiarisation with ISO 14001/45001/55001 Standards
  • Proven technical writing experience within a large high risk safety focused organisation in a consultative approach with stakeholders.
  • Demonstrated knowledge of process focused document production, publication, standards, and methodologies.
  • Proficiency in document authoring and configuration tools.
  • Experience in providing guidance and coaching across a complex business specifically in relation to integrated management systems, document hierarchy and document quality.
  • Ability to think systematically and to connect strategically complex pieces of work both current and into the future whilst minimising risk and ensuring compliance.
  • High level of effective negotiating and influencing skills with excellent written and oral skills
  • Strong stakeholder management experience to work collaboratively and build strong working relationships with both internal and external stakeholders
  • Solid report writing, analytical ability and critical thinking with the ability to work autonomously.
  • Proficiency in Microsoft Software Packages
