Summary of Role:
As a Coordinator you will provide administrative and project management support to producers, SME’s, servicing advisors and management in the Insurance, Retirement and Wealth Management groups. General knowledge of life insurance, retirement plans and mutual funds requested. Must be proficient in Excel, Word, and Adobe Acrobat. Due to fiduciary nature of the retirement advisory industry, individual must have valid driver’s license and a clean background check. If candidate currently holds securities license(s) must have a clean BrokerCheck report.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Life Insurance
- Handle inforce policy service requests :Premium Payment Mode Changes.
- Update existing bank draft details. Address Changes. Ownership & Beneficiary Changes.
- Request inforce ledgers.
- Policy pd-to-date information. Contact client for possible policy lapse.
- Verify policies are inforce.
- Mass Mutual – service requests from clients
- Ongoing review of inforce policies
- Update Salesforce with New Business
- Update Expiring Term Policies Spreadsheet (verify policies are still in force)
- General filing
- Update Advisors Assistant Database
- Scanning/Copying
- Set Appointments for key insurance producer(s)
- New Policy Notebooks – maintain supply
- Monitor key insurance producer(s) State License Expirations
Retirement
- Maintain sales/client management systems and reporting needs
- Assess internal processes to maximize efficiencies and leverage automated solutions
- Compilation and production of client meeting materials (shipping as needed)
- Support Sales/Marketing needs relating to presentations and RFPs
- Communication and Education Support, as needed
- Maintain internal files and databases with all client data
- Maintain business level data for management
- Assist with special projects as needed
Wealth Management
- Support Nick Walker (referrals from retirement)
- Print & bind estate planning books
- Mailing of annuity contracts
EDUCATION AND/OR EXPERIENCE:
- College graduate preferred
- Experience with finance and/or accounting or related field
- Excellent time management and organizational skills
- Able to manage multiple deadlines and deliverables
- Excellent communication skills
- Innovative and engaging with management to seek out process improvements
- Proficient in Excel and Microsoft Word
- Proficient in Adobe Acrobat
- Understanding MSOutlook, Salesforce and internet navigation
