Position Summary & Overall purpose:

Responsible for assisting Partners, Relationship Managers/Advisors and department managers with firm licensing and appointments including maintaining all state and carrier requirements as it relates to the contracting of MassMutual and Career Agents

This role involves assisting Partners, Relationship Managers (RMs)/Advisors and department managers with facilitating the firm’s licensing of MassMutual contracts. This will also include processing their Life & Health Licenses, tracking their expiration dates, continuing education credits, and managing information in MOSAIC and other CRMs, websites and dashboards.

The ideal candidate will have excellent organizational, communication and follow through skills. You should have excellent client service skills to work with various stakeholders while regularly assessing priories (yours and theirs), completing tracking and submitting requests. You should be proficient with technology and able to work with multiple software systems and MS Office Suite.

This is a full-time role working from our NYC office. A hybrid and/or fully remote schedule will be considered for experienced candidates in the tri-state area. The work schedule is M-F from 8:30am-5:30pm Eastern Time.

What You’ll Be Doing

Licensing

  • Processes entity and individual securities licenses (new & renewals) for partners, staff and RMs as needed/approved.
  • Processes address changes for partners, staff and RMs as needed with state insurance departments and insurance carriers.
  • Utilizes MOSAIC (CRM) to maintain and monitor all licenses to ensure they do not lapse.
  • Develop and maintain tracking process for all state licensing requirements.
  • Conduct annual audit of licenses recorded in MOSAIC to ensure accuracy and completeness.
  • Works with Multi-Life personnel to ensure proper licensing and appointments for all multi-life new business cases.
  • Facilitates aspects of insurance pre-licensing including course study through online vendors and testing based on state requirements.

Appointments

  • Establishes carrier appointments for all product lines for partners, staff, relationship managers and joint venture partners.
  • Maintains current, accurate and organized appointment files.
  • Ensures writing codes are properly established and maintained in the firm database.
  • Liaise with non-Lenox producers to coordinate licensing and appointments on joint cases.

Continuing Education (CE)/Designations/Contracting

  • Proactively obtains, maintains and tracks records on all RMs CE credits.
  • Assists partners, RMs and staff in maintaining their designation status’ and coordinating required CEs as needed.
  • Supports partners, RMs and employees with insurance continuing education requirements.
  • Maintains professional and industry memberships for partners, RMs and staff.
  • Assists Operations Manager with all administrative functions related to Contracting and our Registered Investment Advisor.
  • Facilitates contracting of MassMutual Brokers and Career Agents as necessary.
  • Coordinates and proctors quarterly CE days for Lenox Advisors

MassMutual Contracting/On-Boarding

  • Facilitates the contracting process of MassMutual Career agents, Career Sampling Agents.
  • Requests and obtains approval on background reports
  • Ensures proper generation and distribution of CLXP classification codes
  • Manages completion of preliminary and contract applications
  • Ensures proper unit placement of the Sales Managers
  • Establishes and maintains relationships with key MassMutual resources specific to the Sales & Distribution Operations division.
  • Facilitates MassMutual contracts

What We’re Looking For

Required Knowledge

  • Knowledge of client/customer service best practices and familiarity with business principles and practices
  • Proficient with MS Office Suite including Outlook and mid-level Excel.
  • Proficient working with Client Database Management/CRMs, various software and websites

  • Excellent communication skills, both verbal and written (email, written memos, telephone, voicemail, etc.)
  • Ability to interact with clients diplomatically and professionally
  • Strong attention to detail with the ability to prioritize multiple tasks in a fast paced sales environment
  • Ability to work independently and also to collaborate with teams
  • Proficient in Microsoft Outlook, Excel, Word and PowerPoint. Excel reporting will be required

Education & Experience

  • High School Diploma or GED Required. College Degree or advanced learning preferred
  • 1-3 years of corporate customer service experience highly desired
  • 1-3 years of insurance Industry experience preferred

The base salary range for this position in NYC is $54,000 – $85,000.
