About the Position:

This is an administrative/operation support position with a dedicated focus on supporting the team and advisors who support RBC’s highest-net-worth clients. In addition, this role will provide additional support to the Sales and Marketing leaders and the marketing department. This is a full-time opportunity working a hybrid schedule from our Minneapolis, MN office. A fully remote option will be considered for experienced candidates.

Essential Duties and Responsibilities:

Supporting Senior Point of Sale Associate (Regional Sales Director):

  • Setting appointments and managing the Regional Sales Director’s calendar, including prospecting activities.
  • Entering activity information related to phone calls and meeting setups into Salesforce.
  • Organizing travel for the Regional Sales Director.
  • Requesting illustrations from the Case Design Team
  • Compiling all necessary materials for appointments. This includes both on-screen, possible in-person meetings, and assisting in running the meetings.
  • Acting as a liaison with the Case Management Supervisor and team on case requirements. This involves updating the Regional Sales Director and others on the case status.
  • Acting as a liaison with the Chief Underwriter and team on case requirements.
  • Entering expenses into Concur and completing monthly expense reports.
  • Attending client/Financial Advisor meetings with the Regional Sales Director (virtually) to take notes and ensure follow-ups are completed.
  • Working as a liaison for the Regional Sales Director with other areas as needed to support new or post-issue needs.

Supporting Sales / Marketing

  • Overseeing regional meetings and ride-alongs to ensure smooth operations.
  • Tracking and reporting activities related to Carrier Partnerships to maintain transparency and efficiency.
  • Ensuring the fulfillment of print materials, marketing, and promotional items to support various initiatives.
  • Providing administrative support for DBS meetings to facilitate effective communication and decision-making.
  • Acting as a Salesforce Admin to manage follow-up tasks for Regional Sales Directors, ensuring timely and appropriate actions.
  • Leading project management efforts to ensure timely completion of projects with quality outcomes.
  • Providing support for various events, contributing to their success and effectiveness.

Key Results Areas

  • Play a pivotal role in enhancing the overall success and profitability of the DBS through effective and efficient task execution.
  • Provide professional and thoughtful assistance to the Sales and Marketing leadership on tasks assigned, thereby facilitating smooth operations.
  • Take charge of maintaining the schedules for the Regional Sales Director, National Sales Head, and EVP, ensuring optimal time management.
  • Actively participate in weekly sales team meetings, tracking and reporting progress on assignments to ensure transparency and accountability.
  • Uphold customer confidence and safeguard operational integrity by maintaining strict confidentiality of sensitive information.

  • Must be able to work effectively in a diverse group of people as a team member

Education and/or Experience

  • High school graduate (associate’s degree preferred) with a minimum of 2 years in corporate office administration or a similar function.
  • Experience desired in support roles within revenue-focused sales organizations, aiding in sales growth and team capabilities.
  • Proficiency in customer satisfaction, organizational reporting, event planning, and project management.
  • Insurance background is ideal but not required.

Certificates, Licenses, Registration

Life and Health License is a plus, but it is not required.
