Admin Support Officer - Environment & Stakeholder
THE OPPORTUNITY
As the Admin Support Officer for the Environment team, you will provide assistance with a range of key responsibilities, including:
- Monitoring & Reporting: Capture and report accurate plant and environmental data, addressing stakeholder interactions, KPIs, and responding to audit requirements and data quality issues.
- Compliance Assistance: Support compliance activities within the Environment Team.
- Record Management: Maintain quality records in systems like SAP, TRIM, Consultation Manager, and Insight, including procedure documentation, inspections, and audits.
- Cost Control: Manage area budgets, costs, forecasts, and monthly reports. Process Purchase and Service Orders, invoices, and track actual/forecast costs.
- System Maintenance: Maintain registers such as the risk register in Insight, track actions, and update Consultation Manager records.
- Task Management: Create and maintain priority task lists and handle day-to-day planning for the department.
- Administrative Support: Provide administrative assistance to the Environment Team and broader administrative functions across Callide, ensuring safe, efficient, and cost-effective services.
- Environmental Management System: Support document reviews, audits, and manage audit schedules, responding to auditor requests.
- Field Support: Accompany team members on inspections, sampling, and landholder visits, ensuring documentation of interactions.
This is a permanent, full time (36.25 hours per week) position at Callide Power Station.
ABOUT YOU
Education / Certification:
- Certificate IV in Business Administration.
Experience:
- 2-3 years of experience in a high-volume support role is essential.
- Strong organisational, administrative, and communication skills.
- Proven ability to work at an intermediate-to-advanced level with Microsoft Office applications (Word, Excel, PowerPoint, Visio, Outlook), document management systems (HPE Records), and SAP.
- Advanced Excel skills with the ability to create spreadsheets and use formulas with minimal guidance.
- Experience with Consultation Manager (software) is desirable.
Skills:
- Excellent attention to detail, strong numerical and calculation skills, and the ability to spot discrepancies.
- Superior organisational skills and the ability to manage multiple tasks simultaneously.
- Experience in the power station industry and familiarity with SAP and TRIM systems are highly valued.
- Prior experience in customer service or communications roles is highly regarded.
