The Role

Hutchison Ports - Port of Felixstowe is one of the largest deep-water ports in the UK and to support our continued growth and development, we are looking to recruit a Time Office Advisor to join our Finance Team.

Reporting into the Time Office Controller, this role will ensure all employees are paid correctly and on time, with all information held accurately in the Labour Management System and applying the correct employee and overtime costs which impact department and company budgets.

 

Main responsibilities

  • Ensure department managers apply correct employee costs and all information held is correct.
  • Review records for employees who are in long-term relieving roles and pay Higher Grade Pay for those on holiday or sick.
  • Check and calculate short payments and notify the payroll administrators of any short payments identified to ensure they are processed in the relevant payroll
  • Assist in the continued development of The Ports Labour System.
  • Ensure compliance to all policies, procedures and standard operating practices are followed, with recommendations for improvements raised accordingly.
  • Check daily shift information for any errors and report when identified
  • Monitor Payroll for both hourly and weekly paid staff once pay periods have been completed and terminated, checking payslips for accuracy.
  • Produce weekly payroll monitoring sheets for employees working less than 39 hours per week.
  • Administer new contractors and leavers in the Ports Labour System.
  • Access Payroll Build-up and release weekly files for all Payrolls as part of the Payroll Contingency Plan.

 

 Who are we looking for?

Suitable applicants should meet the following criteria:

Essential:

  • Good IT skills including use of Word, Outlook, and Excel
  • In depth knowledge of the Collected Agreements and Payroll
  • Excellent communication skills, both written and spoken
  • Ability to work alone and in a team

Desirable:

  • A minimum of 1 years’ experience working within a large, unionised company applying processes against agreed policies.
