We are seeking an experienced Executive Assistant to provide comprehensive support to our Managing Directors and Senior Leadership Team. In this pivotal role, you will manage schedules, coordinate meetings, handle communications, and assist with various administrative tasks, ensuring our leaders can focus on driving the company's success.

About The Role
The role will involve:
- Manage and project a professional and positive image for the Managing Directors and Senior Leadership Team when dealing with sensitive and confidential issues through exercising tact and respect.
- Manage, coordinate and provide administrative support for the Managing Directors and Senior Leadership Team including oversight and effective management of engagement schedules, diaries, travel, conferences, meetings and events. This includes initiating, managing and prioritising commitments.
- Manage the daily calendars of the Managing Directors to ensure that their schedule remains manageable, and priorities are met. This may require facilitation, direction, negotiation and seeking resolutions as required.
- Develop and distribute agenda and pre-reading material in a timely manner. Take meeting minutes for approval and distribute within timeframe.
- Assist with preparation of presentations and other relevant documentation for internal and external audiences.
- Draft routine correspondence (e.g. letters, memorandums) along with complex written correspondence (e.g. responses on behalf of MD / SLT, site memos) ensuring consistency, quality and accuracy.
- Liaise and maintain effective communication channels (both written/verbal) between the Senior Leadership Team’s broad range of internal and external stakeholders.
- Liaise with external travel agency to co-ordinate, research and book travel (both domestic and international) for the Senior Leadership Team and required guests. Prepare and process expense claims for business travel on completion of trip.
The Requirements
Applicants who possess the following will be considered:
- Demonstrated experience as an Executive Assistant, working with Managing Directors and Senior Leadership Teams
- Advanced skills in Microsoft Office Suite – particularly Microsoft Excel and Microsoft PowerPoint
- Experience in SAP (preferred)
- C Class Driver’s License
- Ability to work flexible hours to assist with out of hours meetings and events
